Google Docs update brings review and approval system for Workspace users

Back in 2019, Google began to test the review and approval system for documents, tables, and slides. Now, as per the information, the company is now rolling out a new update for Google Docs, which brings formal document approvals for Workspace users, after a two-year beta testing.

After it becomes available, opening the “File” menu will display a new “Approvals” option, which will open the right sidebar. Making a request involves entering a list of approvers, a custom message, and optional expiration dates, which will be followed by reminders.

The person you choose will receive an email, browser, or Google Chat notification with a link to the document. By default, documents remain unlocked until they are fully approved, but users can block edits and comments/suggestions before sending the request.

While editing, all reviewers will be notified and the latest version of the document will be re-approved. When everyone signs, the document is considered approved. Meanwhile, the file is locked and cannot be edited to ensure the integrity of your document.

Google developed this system to replace the workflow in documents/sheets/slides, which involves manually attaching Drive documents to emails or chats for approval. The entire process can happen without leaving the secure environment of Google Workspace. The company uses this capability for contracts, legal documents, and other situations that require formal approval.
